We are looking for an experienced Senior Marketing Operations Coordinator to provide strong, hands-on support to the marketing team across the UAE, Iraq, and Morocco. The ideal candidate understands the business and can see the big picture, while thriving in a fast-paced and constantly evolving environment.
You are process-driven, with experience in building and implementing procedures that improve efficiency and streamline team workflows. You have strong people skills and can build effective working relationships with internal stakeholders and external agency partners. You are a highly organised, proactive self-starter who enjoys creating structure, improving workflows, and ensuring consistency in reporting and execution.
Key Responsibilities
- Maintain and update marketing budget trackers across all markets and brands, ensuring all supporting documents are accurately filed each month.
- Follow up with internal stakeholders to collect required materials and prepare marketing expenditure claims.
- Execute administrative and operational activities with a high level of accuracy, organisation, and attention to detail.
- Support the planning and execution of internal and external events, coordinating with partners to ensure smooth delivery.
- Obtain invoice approvals prior to submission to finance, ensuring timely payment and follow-ups when required.
- Collaborate daily with internal teams and departments, as well as external agencies and suppliers, both locally and internationally.
- Manage giveaways from samples through purchase orders, logistics, and distribution.
- Organise and maintain marketing archives, ensuring shared folders and drives are clearly labelled, structured, and up to date.
Skills / Qualifications
- Minimum of 5 years of experience supporting teams in an administrative or marketing operations role.
- Experience coordinating complex tasks or projects across multiple stakeholders and timelines.
- Strong ability to understand briefs quickly and deliver work accurately with minimal supervision.
- Proactive, solutions-oriented mindset with a natural curiosity and willingness to improve processes.
- High commitment to deadlines, quality, responsiveness, and attention to detail.
- Resourceful and comfortable working both independently and collaboratively within a team.
- Excellent written and verbal communication skills in English.
- Demonstrates a high level of professionalism, integrity, and discretion.
- Proficient in Microsoft Office (particularly Excel) and familiar with project management and collaboration tools.
