Job Description

Role Overview:

We are seeking a highly organized and execution-driven Senior Resource Executive to manage the operational backbone of the marketing function. This role is responsible for overseeing resource allocation, workflow management, and project delivery across all marketing and creative initiatives.

The role requires a detail-oriented and proactive individual who ensures all projects are delivered on time, while maintaining full visibility across the pipeline, optimizing resource utilization, and enabling seamless coordination between teams.

Key Responsibilities:

Resource & Workflow Management

  • Maintain a clear and up-to-date understanding of all projects across status reports and pipeline
  • Plan and allocate creative resources (designers, copywriters, production teams) across projects based on priorities and capacity
  • Monitor workload distribution continuously and adjust allocations and deadlines to ensure timely delivery
  • Maintain and manage project tracking systems, schedules, and workflow visibility tools
  • Demonstrate high levels of organization and ownership to manage multiple concurrent projects successfully

Project & Campaign Coordination

  • Manage end-to-end timelines, deliverables, and dependencies across all marketing campaigns
  • Ensure all tasks, initiatives, and assignments are delivered on time, and aligned with project briefs
  • Clearly understand project stages, technical requirements, and workload complexity to plan execution effectively
  • Proactively identify risks, delays, and bottlenecks, and implement corrective actions

Stakeholder Management & Communication

  • Act as the central coordination point between marketing, creative teams, project managers, and other stakeholders
  • Ensure all deliverables are vetted and approved by relevant stakeholders prior to release
  • Keep the Senior Creative Director (SCD) informed daily regarding pipeline status, priorities, and risks
  • Escalate issues proactively to avoid delays or delivery gaps
  • Support prioritization and decision-making by providing clear visibility on workload and progress

Vendor & Resource Management

  • Build and maintain a database of third-party vendors (freelancers, photographers, videographers, production houses, etc.)
  • Coordinate with Procurement to onboard and approve external resources
  • Ensure external support is available and utilized effectively when required

Quality & Delivery Oversight

  • Ensure all outputs meet required quality standards and are aligned with briefs
  • Support teams in delivering high-quality creative work within defined timelines and budgets
  • Foster accountability and consistency across all deliverables

Requirements:

Experience

  • 58 years of experience in Marketing Operations, Resource Management, or Project Management
  • Experience in fast-paced environments (agency, real estate, or in-house marketing teams)
  • Proven ability to manage high-volume project pipelines and complex workflows

Certifications:

  • PMP or equivalent project management certification is preferred.

Competencies & Skills

  • Strong understanding of marketing campaign lifecycle and execution
  • Advanced project management and organizational skills
  • Experience with project management tools (e.g., Monday, Asana, Trello)
  • Strong reporting and tracking capabilities (Excel or dashboards)
  • Ability to manage multiple stakeholders and priorities effectively
