Job Purpose

Administration and Facilities Senior Specialist ensure the efficient operation of Juhayna Group offices by managing front desk services, coordinating logistics, supervising support staff, and maintaining compliance with safety and regulatory standards. The role provides a professional, organized, and welcoming environment that supports the company's daily operations.

What You Will Do In Your Role

  • Oversee the front desk and communication flow by answering phone calls, directing inquiries, and providing a professional welcome to all visitors.
  • Manage all incoming and outgoing mail and logistics, ensuring every piece of correspondence is registered and distributed to the correct recipient promptly.
  • Coordinate and prepare meeting rooms to ensure they are fully equipped, functional, and ready for scheduled sessions always.
  • Maintain office inventory by ordering supplies and materials while generating detailed monthly reports on consumption and expenses.
  • Supervise the daily performance of the housekeeping team and office support staff to ensure the highest standards of cleanliness and organization.
  • Act as the primary point of contact for maintenance requests, following up with external suppliers to ensure all repairs are completed on time.
  • Facilitate procurement needs by collaborating with various departments to issue Purchase Requests (PRs) in line with approved company procedures.
  • Uphold strict regulatory adherence and safety standards across all Juhayna Group sites, including HQ, Tiba, the Factories, and Emnaa.

What You Will Bring To The Role

  • A university degree in Business Administration or a relevant academic field.
  • 24 years of experience in office management, administration, or facilities operations.
  • Advanced proficiency in Microsoft Office suite, specifically Word, Excel, and Outlook.
  • A strong ability to multitask and manage competing priorities effectively.
  • Excellent communication and interpersonal skills for interacting with internal departments and external visitors.
