Job Description
Reports to: Executive Director, Procurement and Supply Chain
Role Purpose:
The specialist will assist the executive director in driving operational excellence across supply chain functions by coordinating cross-functional support, managing budgets and KPIs, maintaining governance policies, and overseeing team administrative workflows.
Responsibilities:
- Financial Reporting and General Ledger:
- Accurately maintain the general ledger by preparing, reviewing, and posting journal entries, including monthly and year-end accruals
- Prepare detailed financial reports, forecasts, and statistical analyses to support management decision-making
- Reconciliation and Close Procedures:
- Perform complex account and bank reconciliations and execute all necessary month-end and year-end close procedures to ensure fiscal record accuracy
- Transaction Processing and Documentation:
- Process and verify a variety of financial transactions, including invoices, check requests, expense reimbursements, and payment collections, e.g., cash, credit card, and online
- Maintain accurate documentation and resolve financial discrepancies
- Compliance and Audit Support:
- Ensure all transactions and documentation strictly adhere to internal policies, external regulations, e.g., tax, and financial aid, and statutory requirements
- Assist with the preparation for and response to internal and external audits
- System Management and Data Integrity:
- Manage financial operations within the core systems, e.g., SAP, BANNER, and ARGOS, including maintaining master data and updating student information systems (SIS) with collections, refunds, and scholarship data
- Stakeholder Communication and Service:
- Provide accurate financial information and consultation to internal departments and external stakeholders, ensuring a strong customer-oriented service
- Process Improvement:
- Identify areas for performance improvement and contribute to the streamlining of accounting processes, e.g., A/R, cash flow management, and policy communication
- General Administrative Support:
- Perform other related duties as requested
Qualifications and Skills:
Education and Experience:
- University degree is a must
- Minimum of seven years of effective administration experience, preferably in a university setting
- Experience in project management is an asset
Technical Skills:
- Very good level of English language proficiency
- Must be able to multi-task, meet deadlines and work well under pressure in a fast-paced environment
- Ability to manage confidential information in a professional manner
- Excellent communication, organizational and interpersonal skills
- Acquainted with using computer technology, e.g., Excel, PowerPoint, Word and internet searches
- Knowledge of Oracle is a plus
