Position Overview
We are seeking an experienced and proactive Administrative Manager to oversee the daily administrative operations of CoinW Dubai office. This role will manage on-site admin personnel, office operations, cost and budget control, asset management, and employee engagement activities, while supporting global administrative programs and standards.
Core Responsibilities
1. Personnel Management
- Oversee the daily management of Dubai office administrative personnel, including front desk officers, administrative specialists, security guards, and cleaning staff.
- Allocate work assignments, supervise performance, and ensure effective coordination across the admin team to support smooth office operations.
2. Administrative Operations & Facilities Management
- Manage end-to-end administrative operations for the Dubai office, including procurement, warehousing, and distribution of office supplies and administrative materials.
- Drive the implementation, supervision, and reporting of the 6S office management system, ensuring a clean, organized and efficient workplace.
3. Operations Cost Management
- Manage verification, submission, and payment of administrative operating expenses (e.g., rent, utilities, and service fees) for three office locations and four villas in the Dubai region.
- Ensure timely and accurate payments and maintain well-documented and compliant cost accounting records.
4. Event Planning & Execution
- Plan and organize office events, including team-building activities, festive celebrations, and annual meetings.
- Enhance employee engagement, collaboration, and overall sense of belonging within the organization.
5. Budget Management
- Prepare annual and ad hoc administrative budgets for the Dubai office.
- Support the Admin Director in compiling, consolidating, and adjusting the global administrative and property management budget, including coordination with the US team (Legend).
6. Program & Policy Implementation
- Assist the Admin Director in researching, developing, and implementing administrative systems, policies, and programs.
- Drive localization, optimization and continuous improvement of global admin initiatives within the Dubai office.
7. Process Optimization & Employee Experience
- Proactively gather feedback on employees administrative service needs.
- Innovate and refine administrative processes to improve service quality, efficiency and overall employee experience.
8. Asset Management
- Maintain accurate records and classified filing of all administrative assets in the Dubai office.
- Conduct regular asset inventory checks, enhance asset check-in/check-out procedures, and ensure asset safety and efficient utilization.
Job Requirements
- Bachelor's degree or above majors in Business Administration, Public Administration, or related fields are preferred.
- Minimum 2 years of administrative leadership management experience.
- Overseas administrative experience is preferred, with Dubai or Middle East experience strongly favored.
- Familiarity with multinational enterprise administrative operations and experience managing multiple office locations.
- Must be fluent in both English and Chinese (Mandarin)
- Able to coordinate seamlessly with local stakeholders in Dubai and global teams.
