Role Overview

This role is designed for someone who views themselves as the operational right hand of the CEO, capable of managing multiple moving parts, fast decision cycles, and initiatives that require constant momentum. Our environment is dynamic and fast paced, and it demands a highly adaptable, practical, and sharp communicator who ensures smooth operations at all times.

This is not a traditional administrative position. It is a strategic and operational role that directly influences the company's rhythm and drives key internal initiatives.

Key Responsibilities

1) Managing the CEO's Office as an Operational System

Managing the CEO's schedule and commitments as a strategic roadmap, prioritizing based on importance, urgency, and business impact.

Filtering and refining incoming information before presenting it to the CEO in a clear, decision ready format.

Coordinating with internal teams to ensure timely preparation of documents, data, and meeting materials, especially in time sensitive situations.

2) Leading and Executing Internal Transformation and Improvement Initiatives

Leading internal development and process improvement projects, including defining action plans, stakeholders, and requirements.

Tracking transformation initiatives closely, removing blockers, and accelerating progress when necessary.

Analyzing current processes, identifying operational gaps, proposing practical solutions, and ensuring their implementation.

Preparing concise executive reports that clearly communicate progress, priorities, and next steps.

3) Translating the CEO's Vision into Actionable Workstreams

Converting high level directives into structured tasks for various departments.

Monitoring execution across teams and providing timely, practical updates to the CEO.

Ensuring daily operations and ongoing projects remain aligned with the company's strategic priorities.

4) Executive Communication and Representation

Demonstrating exceptional interpersonal and communication skills with the ability to engage effectively with internal teams, external stakeholders, high profile individuals, and partners. This includes navigating different personalities with emotional intelligence, professionalism, and cultural awareness.

Representing the CEO in selected meetings when required and capturing clear, actionable meeting summaries.

5) Travel and Accommodation Management

Organizing and coordinating travel arrangements for the CEO, including flights, accommodation, ground transportation, and itinerary planning.

Ensuring travel logistics are handled with precision to support the CEO's schedule.
