Job Description

ALSUWEIDI is looking for a Stakeholder Coordinator who will be responsible for managing and maintaining effective communication between the project team and external stakeholders, including government authorities, utility providers, and other relevant entities. The role ensures timely approvals, coordination, and resolution of stakeholder-related issues to support smooth project execution.

DUTIES AND RESPONSIBILITIES

1. Stakeholder Communication & Relationship Management

  • Serve as a primary point of contact for project stakeholders, maintaining effective communication through emails, calls, meetings, and formal updates.
  • Build and maintain strong relationships with clients, contractors, suppliers, government authorities, and other stakeholders.
  • Respond promptly to stakeholder enquiries and ensure clear communication of project progress, changes, and key updates.
  • Monitor stakeholder satisfaction, identify concerns, and support timely resolution of issues.

2. Stakeholder Coordination & Engagement

  • Coordinate stakeholder meetings, workshops, consultations, focus groups, and project briefings, including preparation of agendas and minutes.
  • Track stakeholder requirements, expectations, and feedback, ensuring alignment with project objectives and deliverables.
  • Collaborate closely with internal teams to coordinate stakeholder-related activities and ensure timely completion of deliverables.

3. Documentation & Reporting

  • Prepare and distribute stakeholder communications such as newsletters, updates, presentations, and reports.
  • Maintain accurate records of stakeholder interactions, engagement activities, project data, and communication logs.
  • Prepare comprehensive reports and presentations highlighting key findings, insights, and recommendations for management.
  • Ensure proper documentation and maintenance of stakeholder databases, project records, and compliance-related documents.
  • Follow up on submissions, maintain communication with clients and stakeholders, and track progress of approvals and responses.

4. Proposals Support

  • Support the preparation and submission of prequalification documents, technical proposals, and tender submissions, ensuring compliance with requirements and deadlines.

5. Research & Data Analysis

  • Conduct research on stakeholders, market trends, competitors, and project opportunities, maintaining organized databases and reports.
  • Analyze stakeholder feedback and collected data to identify trends, insights, and areas for improvement in engagement strategies.

6. Compliance with Company Policies and Instructions

  • Following and abiding by all work instructions identified by the supervisor and ALSUWEIDI Management.
  • Strictly abide by all rules, regulations, and procedures that ALSUWEIDI Management implements.

REQUIREMENTS

Educational Background:

  • Bachelor's Degree in any Engineering background, preferably Architectural

Relevant Experience:

  • Minimum of 5-8 years of relevant experience in project coordination or stakeholder management within the engineering or construction industry, preferably in engineering consultancy sector

Skills:

  • Strong knowledge of UAE authority procedures (e.g., municipalities, utility providers).
  • Experience in obtaining NOCs, permits, and regulatory approvals.
  • Excellent communication and interpersonal skills.
  • Strong organizational and follow-up abilities.
  • Proficiency in MS Office; familiarity with project management tools is an advantage.
