Job Description

Role Purpose

The Technical Assistant provides administrative and technical coordination support to ensure smooth and efficient office operations within the IT department. The role supports technical personnel in delivering IT services and projects by handling documentation, scheduling, reporting, hardware coordination, and user communication tasks in a timely and accurate manner.

Key Responsibilities

Administrative & Documentation Support

  • Prepare, type, format, review, and edit correspondence, memos, reports, statistical charts, and other documentation.
  • Maintain organized filing systems (physical and electronic), including confidential records.
  • Maintain calendars, schedule meetings, prepare agendas, and record meeting minutes.
  • Track project schedules, activities, and progress updates.

Technical Coordination & Support

  • Assist in long-term hardware planning and capacity planning initiatives.
  • Maintain updated records of hardware, equipment contracts, and installations.
  • Coordinate contract-based installations and vendor activities.
  • Recommend, schedule, and support PC, hardware, and peripheral upgrades or repairs.
  • Read, analyze, and evaluate technical documents to support IT operations.

User Support & Communication

  • Respond to user inquiries via phone and email in a timely manner.
  • Prepare knowledge base articles, documentation, and training materials.
  • Develop user support content such as guides and instructional videos.

Required Competencies

  • Knowledge of office administration and basic bookkeeping procedures.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and documentation skills.
  • Effective written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Basic understanding of IT hardware and technical terminology.

Experience & Qualifications

  • Fluency in English (written and spoken); Arabic is preferred.
  • Relevant work experience as per organizational policy (Article 4.2.4 of Appendix A).
  • Prior experience in administrative or IT support roles is preferred.
  • Diploma or Bachelor's degree in Business Administration, IT, or related field is an advantage.
