Duties And Responsibilities
The Undergraduate Registration Specialist plays a vital role in ensuring a smooth and efficient academic journey for our undergraduate students. This position is responsible for providing comprehensive registration services, managing student records, and acting as a key point of contact for student inquiries. Under the direct supervision of the Undergraduate Registration Supervisor, the Specialist is expected to proactively identify and address student needs, contributing to a positive and supportive academic environment. We encourage innovative problem-solving and a commitment to continuous improvement within the framework of university policies and procedures.
Student Support & Client Services
- Serve as the primary point of contact for undergraduate students regarding registration processes, policies, and procedures.
- Provide professional, helpful, and accurate information in response to student inquiries via various channels (in-person, email, phone).
- Guide students through registration, drop/add periods, and re-enrollment processes.
Academic Record Management
- Efficiently and accurately process student requests related to class and exam absence reporting and excuse submissions.
- Manage the fulfillment of Arabic Language and Religion Studies credential requirements.
- Process and track study group, faculty, and major change requests, ensuring all necessary documentation is complete and approvals are obtained.
- Perform accurate and timely data entry and revision of student registration information within the university's systems, including the graduation portal.
- Administer semester season drop and re-enrollment services in accordance with established timelines and regulations.
Collaboration & Communication
- Maintain effective communication and build positive working relationships with students, faculty, academic departments, and other university staff members.
- Collaborate with relevant departments to resolve student registration-related issues.
- Contribute to the ongoing development and improvement of Registrar Office processes and services.
Qualifications
Education:
- High School education with English as the primary language of instruction (a must).
- Bachelor's degree from an accredited university or college (a must).
Skills
- Excellent command of the English language, both spoken and written.
- Proficient and accurate typing skills in English (Arabic typing proficiency is a plus).
- Strong competency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook (email and calendar management).
- Exceptional interpersonal and communication skills, with the ability to interact effectively with diverse individuals in person and over the phone.
Experience
- Prior knowledge of different high school educational systems.
- Previous experience in the educational or customer service field.
- Familiarity with student information systems or registration software
