Entry-Level Visa Counselor

Role Overview
The Entry-Level Visa Counselor supports the visa team in handling client applications, documentation, and appointment coordination. This role is ideal for fresh graduates who are eager to learn visa processes, customer service standards, and embassy requirements while working under close supervision and structured training.
Key Responsibilities
Client Support
- Assist clients by explaining basic visa requirements and required documents.
- Respond to client emails or inquiries and acknowledge receipt within agreed timelines.
Documentation & Data Entry
- Collect, organize, and verify client documents for completeness.
- Enter and update client information accurately in internal systems.
Application & Appointment Assistance
- Support senior team members in completing visa application forms.
- Assist in booking visa appointments and interviews with embassies and visa centers.
- Share appointment details (date, time, location) with clients as instructed.
Follow-Up & Tracking
- Assist in following up on visa application status with representatives.
- Track passport submission, visa issuance, and delivery until completion.
- Update case trackers and report progress to the supervisor.
Compliance & Accuracy
- Follow embassy guidelines and internal procedures strictly.
- Immediately report missing documents, incorrect data, or special requirements to the supervisor.
Team Support
- Work closely with senior visa counselors and team leaders to ensure smooth daily operations.
- Provide proper handover of assigned cases before leave or absence.
Daily Tasks
- Acknowledge and respond to client emails within service timelines.
- Update visa case status and documentation trackers.
- Follow up on assigned tasks and report completion to the team leader.
Qualifications
- Bachelor's degree or relevant diploma (preferred).
- Fresh graduates or candidates with 01 year experience are encouraged to apply.
Skills & Competencies
- Good communication and customer service skills.
- High attention to detail and willingness to learn.
- Basic computer skills and familiarity with email and Microsoft Office.
- Ability to follow instructions and work under supervision.
- Ability to work under pressure and meet deadlines.
