We are looking for a reliable, structured, and execution-focused Administrative Assistant to support day-to-day operations and directly assist the CEO.
This is a hands-on operational role, not a front-desk position.
Job Description
FOERSTER Middle East FZE is seeking a detail-oriented Administrative Assistant to support daily office operations and provide direct assistance to the CEO. The role involves office and inventory management, logistics and customs coordination, order processing, travel and visa arrangements, CRM and ERP updates, basic accounting and HR administration. The ideal candidate is structured, reliable, fluent in English and Arabic, and capable of operating independently in a professional, fast-paced B2B environment.
Key Responsibilities
- Day-to-day office and inventory management
- Logistics coordination for incoming and outgoing shipments, including Dubai customs procedures
- Order processing: invoicing, creating purchase orders to suppliers, and tracking order progress
- Travel coordination for the team (visas, flight tickets, accommodation)
- CRM updates on HubSpot for ongoing sales deals
- Basic accounting operations: cost of sales tracking, debit/credit statements, supplier/customer SOAs
- Basic HR administration: timesheets, leave management, coordination of visa and contract renewals with HR partners
- Calendar management and executive support for the CEO
Requirements
- Minimum 1 year of experience as an Administrative Assistant or similar role
- Exposure to B2B and sales-driven environments (mandatory)
- Fluent in English and Arabic (mandatory)
- Bachelor's degree or equivalent
- Physically present in Dubai, UAE at the time of application (mandatory)
- Advanced MS Office skills (Excel proficiency expected)
- Experience with:
- CRM systems (HubSpot or similar)
- ERP systems (Odoo or similar)
- Document control and filing
- Calendar and travel management
- UAE driving license is a plus

Employment Framework
- Location: Dubai JAFZA (On-site only)
- Contract: Full-time, 2-year contract
- Salary range: AED 4,000 6,000 per month (based on experience)
