Job Description
We are seeking a highly organized and proactive
Administrative Assistant to support daily office operations and ensure the smooth functioning of administrative workflows. The ideal candidate will be detail-oriented, professional, and capable of managing multiple tasks efficiently in a fast-paced environment.
Job Responsibilities
Administrative Support
- Manage daily office activities, including scheduling, correspondence, and documentation.
- Maintain and update filing systems (physical and digital).
- Handle incoming and outgoing communication (emails, phone calls, letters).
- Prepare and format reports, memos, and presentations.
Office Management
- Coordinate meetings, events, and travel arrangements for staff.
- Maintain office supplies inventory and place orders when necessary.
- Support the onboarding process for new employees (document collection, workspace preparation).
- Ensure compliance with company policies and Saudi labor/administrative requirements.
Coordination & Communication
- Act as the point of contact between internal teams, management, and external stakeholders.
- Assist in organizing departmental schedules, calendars, and appointments.
- Support HR and Finance departments with basic administrative tasks when needed.
Document Control
- Maintain confidentiality of sensitive information.
- Prepare, review, and distribute internal documents.
- Ensure proper archiving of records in accordance with company standards.
Qualifications
Education
- Diploma or Bachelor's degree in Business Administration, Office Management, or a related field.
Experience
- 13 years of experience in administrative or office support roles (experience in Saudi Arabia is a plus).
Skills
- Excellent written and verbal communication skills in English; Arabic proficiency is an advantage.
- Strong organizational and timemanagement skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and work with minimal supervision.
- Professional demeanor with strong interpersonal skills.
