Job Overview:

As an Admin Executive, you will provide day-to-day administrative support to ensure smooth internal operations across departments. You'll handle documentation, office coordination, data entry, and internal communication acting as a key support function in a high-growth, fast-paced environment.

Qualifications Required:

Bachelor's degree in business, Business Administration, or a related field (preferred).

2 4 years of relevant experience in administrative roles, preferably in real estate or service-based industries.

Key Responsibilities:

Prepare, review, and manage tenancy contracts, leasing agreements, renewals, and addendums in line with DLD regulations

Maintain up-to-date documentation for Ejari registrations, tenancy renewals, title deeds, Oqood, and other RERA/DLD processes

Coordinate and track lease payments, deposits, and rental cheques with finance/admin

Manage a digital and physical filing system for all properties under management including ownership documents, NOCs, utility accounts, and service charges

Liaise with agents, property managers, and clients to ensure timely documentation and updates

Coordinate with PROs for DLD transactions, approvals, and licensing submissions Track lease expiries, follow-up schedules, and keep renewal reminders updated

Support brokers with listing paperwork, RERA forms (A/B), Form F, and marketing documentation

Handle backend documentation for property onboarding, sales, transfers, and handovers

Manage inventory tracking, insurance renewals, AMC documents, and handover packs for homeowners and tenants

Assist with admin tasks related to brokerage commissions, contract signatures, and CRM updates

Coordinate with internal teams for meetings, reporting, and operational alignment

Requirements:

Strong understanding of Dubai real estate documentation processes: Ejari, DLD, Oqood, title deeds, leasing contracts

Familiarity with RERA Forms (A/B/F) and leasing/sales workflows

Excellent written and verbal communication skills in English

Highly organized with strong attention to detail

Proficient in MS Office, Google Workspace, and CRM systems (knowledge of Property Finder, CRM, or Dubizzle backends is a plus)

Ability to multitask, prioritize, and work under pressure in a fast-paced environment Trustworthy, reliable, and capable of handling confidential information
