JOB SUMMARY:
We are seeking a highly organized and detail-oriented Document Controller to manage and oversee documentation processes for architectural and design projects. The Document Controller will be responsible for ensuring that all project documents are properly organized, version-controlled, and stored in accordance with company and regulatory standards. This role plays a key part in supporting smooth communication and coordination between design teams, consultants, and clients.
ROLES & KEY RESPONSIBILITIES:
- Manage and maintain document control systems (e.g., Aconex, Procore, BIM 360, or internal systems).
- Control the issuance, receipt, tracking, and archiving of all design and construction documentation.
- Ensure timely distribution of latest revisions of drawings, specifications, RFIs, and other documents to relevant stakeholders.
- Maintain a register of drawings, transmittals, submittals, and incoming/outgoing correspondence.
- Review documents for accuracy and completeness before distribution.
- Coordinate document flow between architects, engineers, consultants, and contractors.
- Maintain confidentiality and security of sensitive project documentation.
- Assist in preparing document packages for client submittals or authority approvals.
- Support the design team with administrative tasks related to project documentation.
REQUIREMENTS:
- Proven experience as a Document Controller, preferably in an architectural or engineering consultancy.
- Familiarity with architectural documentation, drawing management, and naming conventions.
- Proficient in MS Office Suite (especially Excel, Word) and document control software (e.g., Aconex, SharePoint, BIM 360).
- Strong understanding of document version control and document lifecycle management.
- Excellent organizational skills and attention to detail.
- Good communication and interpersonal skills.
- Ability to work under pressure and meet deadlines.
PREFERRED QUALIFICATIONS:
- Diploma or degree in related field with minimum 3 years experience in similar role
- Knowledge of ISO standards related to document management (e.g., ISO 9001).
- Previous experience working with consultants or contractors.
