The Executive Assistant will provide high-level administrative, coordination, and communication support to multiple senior stakeholders. The role requires exceptional organizational skills, discretion, and the ability to manage priorities across leaders while ensuring seamless day-to-day operations.
Key Responsibilities
Stakeholder & Executive Support
- Provide end-to-end executive support to multiple senior stakeholders
- Act as a central point of coordination between stakeholders, internal teams, and external partners
- Manage competing priorities across leaders with professionalism and confidentiality
Calendar & Schedule Management
- Manage complex calendars for multiple stakeholders, including meetings, travel, and events
- Coordinate internal and external meetings, ensuring agendas, materials, and follow-ups are prepared in advance
- Proactively resolve scheduling conflicts and optimize executives time
Communication & Coordination
- Handle high-level written and verbal communication on behalf of stakeholders
- Draft emails, memos, presentations, and reports with accuracy and professionalism
- Liaise with internal departments (HR, Finance, Legal, Operations) to ensure timely execution of requests
Meetings & Documentation
- Prepare meeting agendas, presentations, and briefing notes
- Attend meetings when required and prepare minutes, action trackers, and follow-ups
- Track commitments and ensure timely closure of action items
Travel & Logistics
- Coordinate domestic and international travel arrangements, visas, accommodation, and itineraries
- Manage expense claims, approvals, and related documentation
Confidentiality & Governance
- Handle sensitive information with the highest level of discretion and integrity
- Support governance-related documentation, approvals, and leadership communications

Qualifications & Experience
- Bachelor's degree preferred
- 58+ years of experience as an Executive Assistant supporting senior leadership
- Experience working in fast-paced, multi-stakeholder environments
- Proficiency in MS Office (Outlook, Word, PowerPoint, Excel) and collaboration tools
