Alkaffary Group is looking for an experienced and dedicated Executive Secretary to provide high-level administrative support to our executive team. The ideal candidate will be responsible for managing schedules, coordinating meetings, and handling correspondence to ensure efficient office operations. A successful Executive Secretary will have outstanding organizational skills, discretion, and the ability to multitask in a dynamic environment.
Key Responsibilities
- Manage and maintain executive schedules, including appointments, meetings, and travel arrangements
- Prepare and edit correspondence, reports, and presentations for the executive team
- Coordinate and schedule meetings, including preparing agendas and taking minutes
- Act as a liaison between executives and internal/external stakeholders
- Handle confidential information with the utmost discretion and professionalism
- Assist with project management and tracking key deliverables and deadlines
- Maintain organized filing systems and documentation for easy retrieval
- Support general office operations as needed
Requirements
- Bachelor's degree in Business Administration, Management, or a related field
- Minimum of 1 year of experience as an Executive Secretary or in a similar role
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
- Ability to handle multiple tasks simultaneously and prioritize effectively
- Strong problem-solving skills and attention to detail
