Job Description

Alkaffary Group is looking for an experienced and dedicated Executive Secretary to provide high-level administrative support to our executive team. The ideal candidate will be responsible for managing schedules, coordinating meetings, and handling correspondence to ensure efficient office operations. A successful Executive Secretary will have outstanding organizational skills, discretion, and the ability to multitask in a dynamic environment.

Key Responsibilities

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements
  • Prepare and edit correspondence, reports, and presentations for the executive team
  • Coordinate and schedule meetings, including preparing agendas and taking minutes
  • Act as a liaison between executives and internal/external stakeholders
  • Handle confidential information with the utmost discretion and professionalism
  • Assist with project management and tracking key deliverables and deadlines
  • Maintain organized filing systems and documentation for easy retrieval
  • Support general office operations as needed

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field
  • Minimum of 1 year of experience as an Executive Secretary or in a similar role
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Ability to handle multiple tasks simultaneously and prioritize effectively
  • Strong problem-solving skills and attention to detail
