Facility maintenance & support services
- Supervise cleaners, maintenance staff and outsourced service providers to ensure timely, quality service delivery
- Monitor routine and preventive maintenance activities and follow up on outstanding facility issues to minimise operational disruption
- Manage pantry operations including procurement, stocking and inventory control of consumables and groceries — ensuring hygiene standards and cost efficiency
- Maintain petty cash records, service logs and vendor documentation in line with internal policies
Mail centre & business services
- Collect and distribute internal and external mail from the P.O. Box promptly and accurately
- Coordinate courier services to ensure documents and packages are dispatched and received without delay
- Provide photocopying, binding and business centre support services as required
- Manage stationery inventory — receive requests, maintain stock levels and distribute supplies
- Maintain a systematic archiving and filing system for both physical and electronic records
- Direct contracted mail room staff to ensure efficient and consistent service delivery
Fleet management
- Oversee vehicle allocation, usage tracking, routine maintenance and repairs across the organisation's fleet
- Monitor fuel consumption, operating costs and maintain accurate fleet records and documentation
- Ensure compliance with safety standards, traffic regulations and insurance requirements
- Coordinate with vendors and service providers to ensure timely servicing and optimal vehicle performance
General administration & reporting
- Allocate and manage workloads across the support team — tracking requests, monitoring completion and proactively reducing backlogs
- Maintain service request logs and follow up with internal customers to ensure satisfaction
- Prepare periodic reports, statistics and updates for the Administrative Services Department
- Ensure all relevant policies and procedures are up to date and consistently adhered to
Requirements
- Bachelor's degree in Business Administration, Facilities Management or a related field
- 3–5 years of experience in a facilities, administrative or support services role
- Prior experience supervising blue-collar or support staff in a corporate environment
- Familiarity with fleet management, mail centre operations and vendor coordination
- Proficiency in MS Office — Excel, Word and Outlook for reporting and record-keeping
- Knowledge of health, safety and compliance standards within a workplace setting
- Strong communication skills in English; Arabic is a strong advantage
- UAE-based candidates preferred
