Job Description

Key Responsibilities:

  • Manage the full administrative employee lifecycle: pre-onboarding, onboarding, internal changes, exits, and maintenance of personnel records;
  • Process HR documentation, including leave requests, sick leaves, employment certificates, payroll-related updates, and benefit-related paperwork;
  • Coordinate employee visa, medical insurance, and immigration procedures in line with UAE regulations (ADGM/Mainland Dubai);
  • Collect, verify, and maintain immigration documentation to ensure compliance with legal and company requirements;
  • Liaise with providers to manage medical insurance, visa processes, HR-document renewals, and assist in selecting vendors for other services and benefits;
  • Handle employee relations cases, including disciplinary or offboarding matters, in coordination with legal or labour law consultants;
  • Support payroll preparation by providing accurate employee data and ensuring timely updates;
  • Act as a point of contact for daily HR-related queries and employee communication.
  • Assist in performance review cycles, probation monitoring, and basic HR reporting.
  • Support recruitment activities job postings, scheduling interviews, and candidate communication.
  • Support learning, development, engagement, and team-building initiatives.
  • Organize internal events, team gatherings, celebrations, and corporate gifting initiatives.
  • Coordinate and manage business trips bookings, travel documentation, and expense follow-up.
  • Perform essential office administration tasks to ensure smooth day-to-day operations and a well-functioning workplace.
  • Coordinate basic procurement, vendor communication, and general office support as needed.

What we expect from the ideal candidate:

  • Strong knowledge of UAE labour law, HR compliance, and employment regulations, with a focus on Dubai Mainland and ADGM frameworks;
  • Proven experience in HR administration, people operations, or HR generalist roles (preferably in the UAE)
  • Solid understanding of visa, immigration, medical insurance, and employee relocation processes in the UAE
  • Experience managing employee lifecycle processes: onboarding, internal changes, offboarding, and HR documentation
  • Practical experience working with payroll data, HR documentation, and employee records
  • Ability to work with external providers (PRO services, insurance companies, legal/labour law consultants, vendors)
  • Strong organizational skills and attention to detail, with the ability to manage multiple processes simultaneously
  • High level of confidentiality, professionalism, and ethical standards in handling employee information
  • Good communication skills in Russian and English
