Executive Office Manager Dubai

The Executive Office Manager will provide operational and administrative leadership for the client's Dubai office, ensuring day-to-day activities, financial coordination, compliance follow-ups, and logistical support are handled efficiently. The role bridges internal operations and external service providers, maintaining organized, compliant, and well-coordinated office operations.

Key Responsibilities

Office Administration

  • Manage daily administration of the Dubai office.
  • Coordinate with office providers, workspace operators, and vendors.
  • Maintain organized records, correspondence, and documentation.
  • Support visiting executives and staff.

Financial Administration & Basic Bookkeeping

  • Maintain basic bookkeeping records and track operational expenses.
  • Prepare financial documentation for external accounting and corporate service providers.
  • Follow up on filings, regulatory submissions, and compliance documentation.

Regulatory & Corporate Services Coordination

  • Liaise with corporate service providers for company administration, financial filings, and regulatory compliance.
  • Track deadlines and maintain records of submissions.

Expense Management & Travel Coordination

  • Maintain records of operational and travel expenses.
  • Coordinate staff travel, including flights, accommodation, and transportation.

Operational Coordination

  • Assist in scheduling meetings and managing executive calendars.
  • Organize meeting logistics and maintain service provider directories.

Candidate Profile

  • Degree or diploma in Business Administration, Accounting/Finance, Management, or related field.
  • 58 years in roles such as Office Manager, Executive Office Manager, Operations Manager, Executive Assistant, or Finance/Administration Coordinator.
  • Preferred experience in corporate services, professional services, accounting, advisory, family offices, or investment firms.
  • Strong office administration and organizational skills.
  • Vendor and service provider coordination, financial record management.
  • Highly organized, detail-oriented, discreet, and professional.
