Job Description

Job Summary

The Office Manager will oversee and streamline daily administrative and operational functions of the engineering consultancy's Dubai office. This role ensures efficient office operations, supports project teams, handles HR and PRO tasks (visa/insurance), and maintains essential administrative systems to help the business run smoothly.

This position reports to senior leadership and interacts with engineers, project managers, clients, and external vendors.

Key Responsibilities

Office & Administrative Operations

Manage day-to-day office functions and administrative processes.

Maintain office supplies, equipment, and facilities for a productive workspace.

Coordinate meetings, travel arrangements, and executive schedules.

Serve as a key point of contact for internal teams, clients, and external partners.

HR & PRO Support

Facilitate onboarding/offboarding processes; coordinate workspace setup.

Assist with UAE visa processing, work permits, medical insurance, and government formalities (e.g., GDRFA/MOHRE).

Maintain employee records per local regulations and company policy.

Financial & Records Management

Assist with invoicing, petty cash, expense claims, and basic finance coordination.

Organize project documentation and ensure proper document control practices.

Client & Project Support

Liaise with clients to schedule meetings and support project communication.

Support project teams with document flow and internal coordination.

Qualifications & Skills

Essential

Bachelor's degree in Business Administration, Management, or related field.

Proven experience (typically 3+ years) in office administration/management experience in engineering, consulting, or professional services is a strong advantage.

Excellent communication (English) and organizational skills.

Proficiency with Microsoft Office and office systems.

Preferred

Understanding of UAE business operations, HR regulations, and PRO requirements.

Experience supporting technical teams (engineering, project management) in a professional services environment.
