Purpose of the Job:
Responsible for managing payroll and employee mobility process, including travel, assignments, allowances, and EOS. The role ensures accuracy, compliance with company policies and regulations, and seamless coordination between payroll, HR, finance, and travel agency. Additionally, overseas and controls outsourced payroll services to ensure SLA adherence and data integrity.
Key Responsibilities:
Payroll Processing & Validation
- Collect and consolidate payroll inputs from HR, time & attendance, and relevant departments.
- Validate employee master data and ensure all changes are supported by approved documentation.
- Review and validate salary, allowances, variable components, and deductions against approved LOA and policies.
- Process monthly payroll accurately and on time, ensuring correct calculation of gross salary, net salary, and statutory deductions.
Oversight of Outsourced Payroll Services
- Monitor outsourced payroll vendor performance and compliance with payroll SLAs and HR policies.
- Validate payroll outputs and reconciliations from the vendor, ensuring data alignment with internal HR systems.
- Escalate service issues and coordinate corrective actions with vendors and HR leadership.
- Support periodic vendor evaluations and contract reviews in collaboration with Procurement and HR.
Deductions, Recoveries & Reconciliation
- Manage and monitor employee loans, repayment schedules, advances, overpayments, and missed flight penalties.
- Perform detailed payroll reconciliation, analyze variances, and ensure alignment with finance before final release.
Payroll Review, Disbursement & Post-Payroll
- Prepare payroll summary reports for management review, highlighting key changes, variances, and risks.
- Coordinate with Finance/Bank for salary transfers, validate bank file accuracy, and ensure timely payments.
- Generate and distribute payslips, address employee queries and disputes, and process corrections if required.
End of Service (EOS) Management
- Calculate EOS benefits in line with company policy and Saudi Labor Law.
- Ensure accurate calculation of final salary, accrued leave, EOS gratuity/indemnity, and pending allowances or deductions.
- Coordinate with HR to validate exit data and process EOS payments within defined timelines and SLA.
Travel & Mobility Coordination
- Coordinate with travel management teams and systems (e.g., booking portals like Alma).
- Ensure all travel transactions align with approved policies and are properly recorded.
- Monitor ticket issuance, cancellations, refunds, and adjustments.
- Support employee mobility requests including business trips, temporary assignments, and relocations.
Compliance, Governance & Reporting
- Maintain full payroll documentation for audit purposes and ensure compliance with company policies, labor laws, and PDPL.
- Ensure all transactions comply with internal approval frameworks (LOA) and SLAs.
- Implement and monitor controls to prevent duplicate or incorrect payments and reduce manual errors.
Qualifications:
- Bachelor's degree in human resources, Finance / Accounting, or Business Administration.
- 3–5 years of experience in payroll processing, compensation & benefits, and employee mobility / travel management.
- Proven experience handling end-to-end payroll cycles, managing EOS calculations, and working with payroll systems and ERP platforms.
- Experience in Saudi Arabia labor law and practices is highly preferred.
- Familiarity with payroll systems (ERP / outsourced platforms) and travel management systems (e.g., Alma/Paxes).
- Advanced Excel skills (formulas, pivot tables, data analysis).
- Understanding of internal controls, audit requirements, and data privacy regulations (e.g., PDPL).
- Strong communication skills in English; Arabic is highly preferred.
