Job Description
Key Responsibilities1. Attendance & Time Management
- Monitor and maintain daily employee attendance records through the company's attendance system.
- Review attendance, lateness, early departures, absences, and overtime records.
- Prepare monthly attendance reports and provide accurate data for payroll processing.
- Follow up on missing or incorrect attendance records with employees and managers.
- Maintain and update employee work schedules, shifts, and attendance codes when required.
- Ensure proper documentation and approval of absences, vacations, permissions, and overtime.
- Prepare attendance-related reports and statistics for management.
- Support the implementation and administration of attendance policies and procedures.
- Handle employee social insurance registration, amendments, transfers, and termination procedures.
- Maintain accurate social insurance records and employee files.
- Prepare and submit required social insurance documents and forms within the applicable deadlines.
- Follow up with the relevant social insurance authorities regarding employee transactions.
- Ensure that employee data is consistent between company records and social insurance records.
- Support the monthly preparation and reconciliation of social insurance data and contributions.
- Maintain proper documentation of social insurance transactions and correspondence.
- Stay updated on changes to social insurance requirements and procedures.
- Maintain accurate and up-to-date personnel files and employee documentation.
- Prepare employment, resignation, termination, and other personnel-related documents.
- Process employee leave requests and maintain accurate leave balances.
- Support the onboarding and offboarding processes from a personnel administration perspective.
- Update employee information in the HR system and personnel records.
- Prepare personnel reports as requested by the HR Manager.
- Ensure confidentiality and proper handling of employee information.
- Ensure personnel practices and records comply with company policies and applicable Egyptian labor and social insurance requirements.
- Maintain organized and audit-ready personnel and social insurance documentation.
- Support internal and external HR audits and inspections.
- Ensure timely completion of all personnel-related administrative requirements.
- Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field.
- 4-6 years of experience in personnel administration, preferably with strong exposure to attendance and social insurance.
- Good knowledge of Egyptian labor and social insurance procedures.
- Experience using attendance/timekeeping systems.
- Good knowledge of Microsoft Office, particularly Excel.
- Good organizational and documentation skills.
- Good communication and follow-up skills.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality of employee information.
