Key Responsibilities
Vendor & Supplier Management
- Source, evaluate, and onboard vendors (production houses, influencers, freelancers, media suppliers, tech platforms, printers, event suppliers, etc.)
- Maintain strong relationships with existing suppliers and negotiate optimal pricing and terms
- Ensure vendors comply with agency standards, contracts, and timelines
Procurement & Purchasing
- Handle purchase requests for campaigns, productions, events, and internal needs
- Raise POs, manage approvals, and track order fulfillment
- Coordinate closely with Creative, Client Servicing, Media, and Finance teams
Cost Control & Budgeting
- Support project teams with cost estimates and vendor comparisons
- Track procurement spends against budgets and flag variances
- Identify cost-saving opportunities without compromising quality
Contracts & Documentation
- Assist in preparing contracts, NDAs, and supplier agreements
- Maintain accurate procurement records, invoices, and vendor databases
- Support finance with invoice matching and payment follow-ups
Operations Support
- Ensure timely delivery of goods and services for campaigns
- Troubleshoot supplier or delivery issues quickly
- Support audits and internal compliance processes
Requirements
Experience & Skills
- 25 years of procurement or purchasing experience (agency, marketing, media, or production industry preferred)
- Strong negotiation and vendor management skills
- Understanding of digital production, content creation, media buying, or influencer marketing is a plus
- Excellent organizational and communication skills
- Ability to manage multiple projects under tight deadlines
Tools & Competencies
- Proficient in Excel / Google Sheets
- Familiar with procurement systems or ERP tools (bonus)
- Strong attention to detail and commercial awareness
