Job Description

The Executive Secretary is responsible for providing high-level administrative and organizational support to senior leadership, ensuring efficient office operations, professional communication, and smooth coordination of daily activities.

Key Responsibilities

Executive Support

  • Manage and coordinate calendars, meetings, and appointments.
  • Organize travel arrangements, itineraries, and accommodations.
  • Prepare correspondence, reports, presentations, and official documentation.
  • Draft meeting agendas and record accurate minutes.
  • Screen and prioritize incoming calls, emails, and correspondence.
  • Handle confidential information with discretion.

Administrative Coordination

  • Maintain organized filing systems (electronic and physical).
  • Monitor and follow up on pending tasks and action items.
  • Coordinate internal and external meetings.
  • Assist in preparing official letters and formal communications.
  • Ensure professional reception and handling of visitors.

Office Organization

  • Support smooth daily office operations.
  • Liaise with internal departments when required.
  • Track deadlines and ensure timely completion of administrative tasks.
  • Maintain records and documentation in line with company standards.

Qualifications & Experience

  • Bachelor's degree in Business Administration or related field.
  • 58 years experience as an Executive Secretary or Personal Assistant.
  • Experience in a professional corporate environment (construction/consultancy preferred).
  • Experience in KSA is an advantage.
