The Executive Secretary is responsible for providing high-level administrative and organizational support to senior leadership, ensuring efficient office operations, professional communication, and smooth coordination of daily activities.
Key Responsibilities
Executive Support
- Manage and coordinate calendars, meetings, and appointments.
- Organize travel arrangements, itineraries, and accommodations.
- Prepare correspondence, reports, presentations, and official documentation.
- Draft meeting agendas and record accurate minutes.
- Screen and prioritize incoming calls, emails, and correspondence.
- Handle confidential information with discretion.
Administrative Coordination
- Maintain organized filing systems (electronic and physical).
- Monitor and follow up on pending tasks and action items.
- Coordinate internal and external meetings.
- Assist in preparing official letters and formal communications.
- Ensure professional reception and handling of visitors.
Office Organization
- Support smooth daily office operations.
- Liaise with internal departments when required.
- Track deadlines and ensure timely completion of administrative tasks.
- Maintain records and documentation in line with company standards.
Qualifications & Experience
- Bachelor's degree in Business Administration or related field.
- 58 years experience as an Executive Secretary or Personal Assistant.
- Experience in a professional corporate environment (construction/consultancy preferred).
- Experience in KSA is an advantage.
