Reports to: Director, HR Faculty Operations
Purpose: The job holder will handle a variety of HR duties to ensure high-quality services are delivered to the faculty members. He or She will assist in the implementation of all HR functions for the faculty's operations and maintain an accurate faculty records while issuing related reports.
Responsibilities:
Assist in the preparation and completion of faculty's personnel files by collecting all hiring
documents, ensuring all required forms are correctly completed
Support in the travel arrangement for the new and departed faculty members with all related issues and arrangements, creating trip numbers on SAP system, such as pickup to or from the airport, meet and assist service, and preparing travel reports
Collect, review and follow up on adjunct faculty social insurance documents, coordinating all related communication with relevant offices
Assist in preparing adjunct faculty reports each semester as requested, ensure receiving the
required documents, check and verify adjunct faculty data
Follow up on the national social insurance and secondment documents process completion for faculty, with issuing the required documents and memos
Assist in the operations of the benefits programs to the full-time faculty, including but not limited to the pension plans, medical coverage, life insurance coverage and scholarships that may be extended to dependents
Handle the timely issuance of the HR letters for faculty members as requested
Follow-up on all general payment requests issued by HR for faculty with the controller's office
Trace and follow up on the termination process and clearance form
Maintain accurate and update faculty members records on the SAP system
Assist in generating all required reports and support in providing relevant analysis on demand
Maintain and update an efficient filing system for all faculty records with an accurate document database
Responsible for maintaining and updating electronic copy of personnel records
Handle general administrative tasks and assist in resolving any administrative problems
Provide support for general HR inquiries and follow up on necessary actions
Perform other related duties as assigned
Requirements:
Minimum Education Requirements:
Bachelor's degree required
Human Resources diploma is an asset
Experience:
A minimum of three years of hands on administrative support experience
Skills:
Excellent communication, interpersonal, organizational and time management skills
Ability to work effectively in a diverse community
Strong attention to detail and the ability to prioritize while handling the pressure
Excellent knowledge of English and Arabic, both written and spoken
Computer literate, including demonstrated proficiency in MS Office and SAP is an asset
