Job Description

We are seeking a highly proactive, detail-oriented, and initiative-driven Executive Assistant to the CEO to provide comprehensive support to our CEO in a fast-paced and dynamic business environment. This role requires a trusted professional who can manage both executive and personal responsibilities with discretion, efficiency, and professionalism, allowing the CEO to focus on strategic leadership and business growth.

Key Responsibilities

  • Manage the CEO's calendar, scheduling meetings, appointments, and personal commitments while ensuring effective time management.
  • Coordinate domestic and international travel arrangements, including visas, itineraries, accommodations, and logistics.
  • Act as a key point of contact between the CEO and internal teams, external stakeholders, clients, and personal contacts.
  • Prepare, review, and manage correspondence, reports, presentations, and confidential documents.
  • Attend meetings when required, take accurate minutes, and follow up on action items to ensure timely execution.
  • Proactively think ahead to anticipate the CEO's needs, identify potential issues, and resolve matters independently before escalation.
  • Manage personal tasks and ad-hoc requests with a high level of discretion and confidentiality.
  • Support executive-level projects, deadlines, and priorities, ensuring smooth day-to-day operations.
  • Maintain organized digital and physical filing systems and ensure information is easily accessible.

Minimum Requirements

  • Bachelor's degree or equivalent professional qualification.
  • Minimum 57 years of proven experience as a Personal Assistant and/or Executive Assistant supporting senior leadership or C-level executives.
  • Experience working in a fast-paced, multi-tasking environment with changing priorities.
  • Strong command of English (written and verbal); additional languages are an advantage.
  • High level of discretion and experience handling sensitive and confidential information.
  • Proficiency in Microsoft Office and digital productivity tools (Outlook, Teams, calendars, document management systems).
