We're Hiring: Executive Secretary Dubai

We are looking for a professional, detail-oriented, and highly organized Executive Secretary to support senior leadership and ensure smooth executive operations. The role also includes coordination with HR activities, making it ideal for someone with administrative experience in both executive and people-related functions.

Key Responsibilities:

  • Manage executive calendars, meetings, and correspondence
  • Prepare and format reports, presentations, and official documents
  • Act as a point of contact between executives and internal/external stakeholders
  • Organize meetings, prepare agendas, take minutes, and follow up on action items
  • Maintain structured digital and physical filing systems
  • Handle confidential information with discretion and professionalism
  • Coordinate travel arrangements and executive logistics when required
  • Support basic HR coordination such as employee documentation, interview scheduling, and internal records
  • Assist with general administrative and office coordination tasks

Requirements:

  • Proven experience as an Executive Secretary or Executive Assistant
  • Bachelor's degree in Business Administration or a related field
  • Exposure to HR administration or coordination is an advantage
  • Strong written and verbal communication skills in English (Arabic is a plus)
  • Excellent organizational and time-management skills
  • High level of professionalism, discretion, and reliability
  • Proficiency in MS Office and common business tools
  • Ability to multitask in a fast-paced environment
